From catering to centerpieces to print and signage, large conferences have a negative impact on the environment. According to National Geographic, 40% of plastic is packaging that is used once and then thrown away. Less than one-fifth of plastic is recycled globally, and the United States recycles only 9% of plastic waste. Reducing the amount of single-use plastics in conferences and events is critical to sustainable event planning.

HeritageMinds LLC plans an average of more than ten conferences per year and uses thousands of name tags and their plastic holders in the process. While our team does their best to collect them when guests leave the conference en masse, these name tag holders are not always reusable or even recyclable. HeritageMinds LLC says, "While we try to collect all the name tags we can at the end of the conference, their wear and tear makes it nearly impossible to use them again."

An Evening of Art and Soul with a FairyTale Ending

HeritageMinds LLC has been planning a two-day holiday extravaganza for this client. Guests didn’t even know the destination until they arrived at the event. This year’s venue, the Philadelphia Museum of Art, provided an inspired and sophisticated setting for this intimate, social event. Influenced by the landmark’s world-renowned art collection and grand architecture, our team had a creative eye to bring art to life through colorful entertainment.

Guests were immersed in the atmosphere of an artistic, spiritual evening accompanied by a jazz guitar solo. In the Grand Staircase Hall, a soul jazz quartet played a vibrant, funky and dynamic set during the cocktail reception. The patterned lighting of the Grand Staircase changed colors in response to the music cues and the activities throughout the evening, creating a dramatic visual effect.

Strolling entertainment added to the cocktail reception, and guests were also able to visit the art gallery, which included a special exhibition of Dior fashions. A photographer in costume interacted with guests and took photos of them. A fashion illustrator created sketches for guests to match the museum’s current exhibition.

The surprise moment came before dinner, when musicians emerged on the grand staircase, lighting created a dramatic atmosphere. HeritageMinds LLC worked closely with audio and video companies to create a spectacular experience, projecting images onto the museum’s staircase, synchronized with the concertmaster’s performance. Next, a talented singer strolled down the stairs and sang a unique version of “Hallelujah,” accompanied by a 14-piece band on wireless instruments for an emotional performance.

After the staircase performance, guests were invited upstairs to enjoy dinner at long tables arranged in a U-shape around the balcony. The band continued to play holiday classics during dinner. Guests returned to the grand staircase hall for dessert and danced the night away to a band that blended soul, blues, R&B, funk and rock. As expected, the band kept guests on the dance floor all night, chanting “Encore!” until the end.

The next morning, during a family brunch in the restaurant, the Nutcracker theme and festive spirit permeated the restaurant, and imaginations were certainly inspired. Delicious food and desserts were served in the main ballroom, while the children's lounge and play area prepared a variety of activities for the whole family. The scene was filled with a fairytale atmosphere. The lavender, white and gold color palette was sweet, sophisticated and modern, and embellished with festive elements such as nutcrackers, decorations, silver lanterns, candles, glittering snowflakes and clusters of evergreens.

A ballerina performing on an aerial hoop greeted guests and added whimsy and magic to the space. A strolling magician played the role of Clara's godfather, Mr. Drosselmayer, and continued to perform magic throughout the event. A candy cane on skates, a dancing ballerina, and a strolling Nutcracker photographer interacted with guests and added fun to the event.

Tiny tables and pink chairs form a whimsical craft station where kids can paint and design their own wooden nutcrackers and write letters to Santa. The play area features toys and games, including a Victorian-style dollhouse and figures, a puppet theater with Nutcracker puppets, a play table with board games, and a reading corner with soft ivory and pink teepees.

The company’s holiday parties are always memorable and full of surprises, energy, and fun for all ages.
